Meet the Candidates

When held
Meet the Candidates will occur within 30 days of the date of the Annual member meeting.   The meeting will start at 6:30pm and end at 8:30pm on the designated date.  The meeting can be extended for two additional 30-minute periods if by a show of hands, the majority of the property owners in attendance agree to the extension.  The Vice President will moderate the meeting.
Notice
The POA shall give all members at least 14-day notice of the “Meet the Candidate” meeting.  Notices must be posted in a conspicuous place in the community (Outside POA Office) at least 14 days in advance of a meeting.  In the alternative, if notice is not posted in a conspicuous place in the community, notice of each board meeting must be mailed, delivered, or electronically transmitted to each member at least 14 days before the meeting.
Process
Generally, the Meet the Candidates meeting will be conducted as follows…

Step Action
1 Candidates will sit at the front of the room facing the property owners.
2 Seating and self-introduction order will be decided by lottery.
3 Candidates will be allotted three minutes each to introduce themselves and speak to their qualifications.
4 Questions from the property owners will begin after all candidate introductions.
5 Property owners that would like to ask questions of the candidates should raise their hand, wait to be acknowledge by the moderator, state their name and if possible, stand to ask their question.
6 In order to provide the opportunity for all property owners to engage with the candidates, property owners will be limited to two questions per acknowledgement and must be directed to a specific candidate.

As an example:

  • One question directed to two different candidates,
  • Two different questions directed to the same candidate,
  • Two different questions, one each directed to two different candidates.
7 After all property owners had the opportunity to ask their set of two questions and with time permitting a second/third  round of questions may take place.
8 Closing remarks by candidates.  Closing remarks will be limited to 3 minutes per candidate.

Note:  Candidates that would like to respond to a question that was not directed to them can make note of the question and include their response at the end of the meeting during their closing remarks period.
